Registration of Activities Form

• • On-Campus Events: All meetings, programs, and activities taking place in shared university spaces must be registered through ROA. 
• • Off-Campus Events: Most off-campus events do not require registration; however, registration is required if:
  • ◦ University funds are used (e.g., departmental budgets, SGA or CAB grants).
  • ◦ Alcohol is involved.
  • ◦ Events are related to fraternity or sorority intake (recruitment, meetings, presentations, etc.).
  • ◦ The event involves fundraising, minors, or contracts (see Special Cases below).
• • Faculty/Staff-Led Events: Departments, offices, and faculty must use ROA if the event takes place in a shared campus space.

Registering your event:

• • Ensures space scheduling and prevents conflicts.
• • Notifies University Police Department (UPD) and building managers who should be occupying a space.
• • Supports student success by helping the university monitor the types of events and activities offered.
• • Confirms compliance with:

ROA registration is not required for:

• • Departmental use of unit-controlled spaces (e.g., a department’s own conference room).
• • Informal student meetings in spaces that do not require reservation.
• • Other activities specifically exempted by university policy.

• • Events with Alcohol: Must comply with the Alcohol Policy, including requirements for contracting UPD, designating Event Managers, and completing required training.
• • Fraternity and Sorority Intake: All intake activities (recruitment, meetings, neophyte presentations) must be registered through ROA.
• • Fundraising, Events with Minors, or Events Involving Contracts: Additional approval processes may apply depending on the event location. For example, outside groups renting Student Union spaces must also work with Event & Conference Services.

• 1. Log in to the ROA system with your Southeastern credentials.
• 2. Complete the event registration form with all required details.
• 3. Submit the form for review and approval.

Tip: Start early. Some events require multiple approvals, and advanced notice helps ensure a smooth process.
