Southeastern adheres to the following policy when calculating time worked by hourly employees: Grace Grace refers to when a time clocked in or out is not more then 7 minutes past a quarter hour (15-minute mark). The clocked in or out time is moved backward to the nearest quarter hour, and calculated for pay from that quarter hour mark.
Rounding Rounding refers to when a time clocked in or out is moved forward to the next nearest quarter hour (15-minute mark). This occurs when a time clocked in or out is within 7 minutes before the quarter hour mark.
Grace and Rounding rules apply to earning
Overtime and Compensatory Time as well as work time.

| Missed
Punch Log
|
|
The Missed Punch Log is used to record the proper punch time whenever an hourly employee fails to punch in or out for any reason. Employees should report any time they miss punching in or out to the Supervisor via the Missed Punch Log kept by the Timekeeper. The Timekeeper will correct the missed punches in LEO TimeCentre 2000e. The employee should indicate on the Missed Punch Log:
The Timekeeper initials the form when the punch has been corrected on Missed Punches in LEO TimeCentre 2000e. The Timekeeper should attach the Missed Punch Log with the Employee Exceptions Logs for each pay period, and keep on file for a minimum of three (3) years. Click here for a Missed Punch Log.

Exceptions Log

The Employee Exceptions Log is used to record requests for leave time or to work additional time, and also to record actual leave time taken or additional time worked by an employee. The Timekeeper uses the Employee Exception Log to make the proper adjustments to the employee's Time Sheet. All leave time or additional work time must be approved by the Supervisor. Timekeepers do not make the changes on the employee's Time Sheet in LEO's TimeCentre until the Supervisor has approved the request. Employees may, if the Supervisor allows, use e-mail to request additional time or leave time. The employee sends requests by e-mail to the Supervisor, with a duplicate of the e-mail sent to the Timekeeper. The Supervisor replies by e-mail to the employee, sending a duplicate to the Timekeeper, who then attaches the request and approval or denial to the Employee Exception Log.
9-month Faculty, Graduate Assistants, Resident Assistants, and Lecturers Although TimeCentre's System Administrator maintains time sheets for 9-month Faculty, Graduate Assistants, Resident Assistants, and Lecturers, Timekeepers are responsible for maintaining Employee Exceptions Log for these employees. The Timekeeper must turn in any Employee Exception Logs completed for these employees to the Systems Administrator by 4:00 p.m. on the date that the pay period ends for payroll processing.
The Employee Exceptions Log is to be completed
in Blue or Black ink by the employee. The employee should complete identifying information on top left side of form including name, department number, social security number, pay period.
